Business Expense Tracker for Excel and Google Sheets

Keep the original evidence separate from your classification decisions. The tracker links reviewed rows back to source IDs, counts expenses once, and reports transfers and reimbursement settlements separately. Monthly and category summaries include reviewed, evidenced expenses only.

Use it with your records

  1. Retain the original evidence

Copy transaction and employee-receipt records into Originals with unique IDs, dates, source references and account names. Outflows and employee costs are negative; refunds are positive. Preserve the original export and receipts outside this workbook too.

  2. Classify without rewriting originals

Use Review for category, treatment, linked item, status, reviewer and notes. Do not delete a row because another payment has the same amount. Category choices are Office, Software, Travel and Other.

  3. Separate transfers and settlements

Use Transfer for money moved between owned accounts. Use Reimbursement for repayment of an employee claim already recorded as an Expense, and link the original claim ID. If the claim has not been recorded, add its evidence first rather than hiding the cost.

  4. Review before summarizing

An Expense is counted only when Reviewed, sourced, dated, categorized and named by a reviewer. Refunds reduce expense. Transfers and reimbursement settlements appear separately, while unresolved controls remain visible.

  5. Set the reporting year

Enter the year in Monthly, then inspect monthly totals and the matching category breakdown. Filter Review to investigate pending or incomplete rows. Do not treat the total as a tax return or full accrual income statement.

How the example avoids double counting

October contains two separate $120 office payments with distinct source IDs, a $40 software invoice and an $80 employee travel receipt. A $20 office refund reduces the office category to $220. The $500 transfer is not an expense. The $80 employee repayment is linked to the receipt and excluded from expense totals. October therefore totals $340, November $40, and the reporting year $380.

The Originals amount column is a signed source movement, not necessarily business-bank cash: the employee receipt is identified as an employee claim. Consequently, do not sum Originals to infer bank cash movement. A separate bank reconciliation remains necessary.

Spreadsheet limits and records

Use rows 6 through 205 for original records and decisions. Summaries cover exactly those 200 rows and one selected calendar year. Keep IDs as text and dates as spreadsheet dates. The workbook does not infer categories, tax treatment, exchange rates or accruals.

Download the XLSX file, keep an untouched copy, then upload a working copy to Google Drive and open it with Google Sheets if desired. Check formulas, dates, validation and print layout after import. No hosted Sheets copy or tested spreadsheet-application compatibility is claimed.

Questions about this resource

Does the tracker identify deductible expenses?

No. Categories organize business records; they do not establish tax deductibility, business purpose, allowable percentages or filing treatment.

Can I open it in Google Sheets?

You can upload the XLSX file to Google Drive and open a working copy with Sheets. Check its formulas, validation and dates after import. No authenticated hosted Sheets copy or tested compatibility claim is supplied.

What if two expenses have identical amounts?

Retain both until their dates, payees and source references establish what happened. The completed example intentionally includes two legitimate $120 office purchases.
