200 blank transaction rows; enter opening book and cleared balances, positive deposits/payments and a cleared status.

Fictional October activity with two distinct $100 payments, pending items and a $5 fee.
Reconcile
Statement balance plus pending deposits minus pending payments compared with the blank register.
Example Reconcile
$1,295 + $200 - $50 = $1,445, matching the completed register.

Scope: Educational register, not a bank-issued statement, available-funds guarantee or automatic bank connection. All examples are fictional. Validation can be bypassed by pasted data; inspect row warnings and reconcile independently.

Fictional educational example. Not customer records or professional accounting advice.

Fictional October 2026 register. Opening book and cleared balances are both $1,000. Cleared means on the October 31 statement, not a prediction of available funds.

Use it with your records

  1. Open or import the workbook

Keep an untouched download. Open the XLSX in your spreadsheet app, or in Google Sheets choose File, Import, Upload and Create new spreadsheet. Import the whole workbook, not one CSV tab. Check formulas, dates, dropdowns and print settings against the completed example before entering live records. No hosted Sheets copy or actual Excel/Sheets compatibility test is claimed.

  2. Set the opening balances and period

Use one account and currency. Enter opening book balance in B2 and opening cleared balance in E2. Carry prior outstanding items into the register and adjust the opening book amount so those items are not counted twice. Enter the statement cutoff in H2.

  3. Record each real transaction

Use rows 6 through 205. Enter a date, a distinct source reference, the original description and a positive amount in either Deposit or Payment. Keep separate legitimate payments even when their amounts match.

  4. Mark only statement-matched items cleared

Select Cleared only after matching the source reference, amount and date to the statement. Everything else remains Pending. The running book balance includes both; the cleared balance includes only Cleared activity.

  5. Reconcile, then retain the evidence

Enter the statement closing balance on Reconcile. Investigate the difference rather than adding a balancing plug. Record verified bank fees once. Retain receipts, check references and the statement with the period copy.

What is included in each format?

The workbook contains formula-driven balances, input validation, frozen headers and separate blank and example sheets. The standard printable PDF has a blank table and a worked example. The large-print version uses 16-point body text and larger writing spaces across more pages, rather than simply enlarging the same crowded table. PDFs are printable worksheets, not interactive calculators or physical checkbooks.

Why $1,445 in the register differs from $1,295 at the bank

Before the fee is recorded, the register has $1,450. Recording the cleared $5 service fee makes it $1,445. The bank has not yet included a $200 deposit or a $50 check, so its $1,295 statement balance becomes $1,445 after adding the deposit in transit and subtracting the outstanding check. Both pending items clear after October 31 in this fictional example.

A cleared balance is not necessarily the bank's available balance. Holds, timing, prior outstanding items and omitted bank activity can still create differences. Match the actual statement before relying on the result.

Do not erase equal-looking payments

CHK-101 and CHK-102 are two separate $100 payments with different supporting references. Both remain in the example. Equal amount and similar description alone do not prove duplication. Review the source record before correcting any entry.

Questions about this resource

Is this check register free and printable?

Yes. Download the XLSX or either PDF without a hosted spreadsheet account. The PDFs include blank writing space and a completed example. Print at actual size; the large-print PDF uses larger text and fewer entries per page.

Can I use this check register in Google Sheets?

You can import the XLSX using Google Sheets File, Import. A live Sheets copy and actual Sheets or desktop Excel testing are not claimed. Compare the imported example with $1,445 register balance and $1,295 cleared balance, then check dropdowns and print layout.

Is a check register a bank statement?

No. A check register is your record, including pending checks and deposits. A statement is issued by the bank. Keep and compare both.

How many transactions fit?

The workbook formulas cover 200 rows, rows 6 through 205. Do not paste below row 205 and assume totals expand. Use a new period copy or deliberately extend every formula, validation and print range.

Statement rows still trapped in a PDF?

Fulla turns bank-statement PDFs into rows you review against the source before exporting CSV, Excel, OFX or JSON. These free workbooks are separate manual tools, not automatic accounting or financial advice.
