Account Reconciliation Template with Balance-Sheet Examples

Reconcile a balance-sheet account to evidence, not just a list of ledger movements. This reusable workbook separates the posted GL roll-forward, independently supported balance, timing items and proposed entries. Cash and prepaid-insurance examples show why a zero expected difference is not the same as a completed reconciliation.

Use it with your records

  1. Set the account and sign convention

Use one account, currency and cutoff per package. Enter assets as positive debit balances and liabilities as negative credit balances. Enter posted movements with debits positive and credits negative.

  2. Prove the posted roll-forward

Enter opening GL and closing trial-balance balances. List posted movements and their journal references in Activity. Investigate any roll-forward difference before adjusting the support.

  3. Build independent supporting detail

List the statement balance, receivable aging, inventory count, prepaid schedule or other evidence in Support. For a prepaid item, show the unexpired service period and calculation rather than copying the GL balance.

  4. Classify differences and record entries

Use Support plus Timing for genuine support-side timing differences. Use GL plus Proposed for an unrecorded correction. When posted, add the journal to Activity, update the trial-balance close, and change its item status to Recorded with its journal reference. Do not apply a recorded entry twice.

  5. Review and retain evidence

The control requires a tied roll-forward, zero actual difference, no proposed GL items, complete evidence fields and preparer/reviewer names and dates. A formula result does not replace an independent review.

Why this is not a renamed bank reconciliation

The package proves both how the ledger moved and why the ending balance exists. Cash uses a bank statement plus dated timing items. Prepaid insurance uses a policy schedule: $1,200 paid for August 2026 through July 2027, less three months at $100, leaves $900 of future coverage.

In the cash example, opening $1,000 plus a $500 deposit, two distinct $100 payments, a $200 pending deposit and a $50 pending check gives $1,450 before the fee. Statement $1,295 plus $200 less $50 is $1,445. A proposed $5 fee makes the expected difference zero, but the actual GL remains $5 high until the entry is posted.

Limits and working copies

Each detail tab supports rows 6 through 105. Rows outside those limits are not included. Duplicate a complete four-sheet package only if you update every cross-sheet reference; the safest approach is a separate workbook per account.

Download the XLSX file, keep an untouched copy, then upload a working copy to Google Drive and open it with Google Sheets if desired. Check formulas, dates, validation and print layout after import. No hosted Sheets copy or tested spreadsheet-application compatibility is claimed.

Questions about this resource

Can I use this for liability accounts?

Yes, use credit balances and credit movements as negative numbers throughout both GL and support. A debit correction is positive. Do not mix normal-balance-positive and debit-positive conventions.

Does a zero adjusted difference mean the reconciliation is finished?

No. A proposed entry can produce a zero expected difference while the posted GL is still wrong. The actual difference, posting status, source evidence and sign-off must also be resolved.

Does Fulla reconcile every balance-sheet account?

No. Fulla converts bank-statement PDFs into reviewed export files. Receivable schedules, prepaid policies, journal posting and reviewer sign-off remain separate accounting work.

Statement rows still trapped in a PDF?

Fulla turns bank-statement PDFs into rows you review against the source before exporting CSV, Excel, OFX or JSON. These free workbooks are separate manual tools, not automatic accounting or financial advice.
