PayPal statements and activity reports: which file to download

Choose the report that answers your question. A monthly balance statement, an activity export and a bank statement showing PayPal transfers describe different parts of the payment history.

  1. Write down the reconciliation question

    Decide whether you need the change in the PayPal balance, individual payment activity or transfers reaching a bank account. This determines which record to collect.

  2. Choose the report and period

    Use the reporting options available in your PayPal account. For merchants with reporting-portal access, the official monthly/custom statement documentation describes PDF and CSV records for a chosen period.

  3. Keep the report’s field meanings

    Preserve transaction identifiers, currencies and separate gross, fee or net values wherever the report supplies them. Do not collapse these fields before deciding which movement they describe.

A bank transfer is not the entire PayPal history

A bank statement may show a transfer from PayPal without listing every sale, refund or fee that contributed to it. Conversely, a PayPal record can describe activity before any money reaches the bank. Those records should be connected by evidence, not assumed to be duplicates of the same table.

Consider a fictional sale of $100, a $3 fee and a later $97 bank transfer. These describe a payment, a cost and a movement between accounts. Adding all three as if each were separate revenue would misstate the activity. The example illustrates a review problem, not advice about the accounting entries for your business.

Understand the documented monthly statement scope

PayPal’s merchant documentation describes monthly and custom statements as balance-focused reports with beginning and ending balances and balance-affecting activity. It excludes pending items. A report intended to explain that balance therefore may not contain every item visible elsewhere in the account.

The same documentation lists PDF and CSV output with UTF-8 encoding. Its audience is merchants who can access the reporting portal. Personal accounts, regions and other report types may present different options, so use the help that matches the account you are actually signed into.

Check what changed between two reports

Before comparing counts, align the report dates, currency and transaction status. A custom activity export covering several months should not be expected to have the same count as one completed monthly statement. Record the filters used when requesting each file so another reviewer can reproduce the selection.

Do not add different currencies into one total without a separately justified conversion method. Preserve the original currency and any exchange information supplied by the report. If a description or identifier becomes unreadable after opening the CSV, inspect its text encoding before changing the underlying values.

Prefer native data when it already answers the task

For a spreadsheet task, inspect PayPal’s own CSV before extracting a PDF version of the same report. Keep the PDF if you need the statement’s presentation or balance context. Use a separate working copy for mapping columns, and verify its row count and signed movement against the selected source.
