Opening Balance and Opening Balance Equity Explained

An opening balance is the supported account balance at the date you start recording activity. Opening Balance Equity in QuickBooks is a setup offset used when entering opening balances; it is not automatically new income or the correct permanent equity classification. Reconcile the full opening records and have the responsible accounting reviewer resolve the offset.

Maple Studio: a narrowly specified opening setup

Fictional educational example. Amounts are illustrative, not customer records.

Fictional sole proprietor with only $1,000 cash and $1,000 owner capital at September 30. No liabilities, prior profit or outstanding bank items.
StageDebitCreditCash balanceOpening Balance Equity balance
Supported setup entryCash $1,000Opening Balance Equity $1,000$1,000$1,000 credit
Authorized reclassification under stated factsOpening Balance Equity $1,000Owner capital $1,000$1,000$0
October services collectedCash $200Revenue $200$1,200$0
October rent paidRent expense $50Cash $50$1,150$0

The equity reclassification leaves Cash unchanged. Do not repeat it if Owner capital was already migrated.

October trial-balance debits: Cash $1,150 + Rent expense $50 = $1,200. Credits: Owner capital $1,000 + Revenue $200 = $1,200.

Existing businesses need their complete opening trial balance and schedules. A bank statement alone cannot determine permanent equity classification.

Intuit limits its missing-opening-entry procedure to an account not yet reconciled. This example is not a correction prescription for an existing file.

Step by step.

  1. Choose and document the cutoff

Use an agreed starting date, prior closing records and the relevant statement. Identify any outstanding checks or deposits at that boundary.

  2. Check for an existing opening entry

Inspect the account register and imported history before adding an opening balance. Do not create it twice.

  3. Review all opening accounts

Tie assets, liabilities and equity to an approved opening trial balance, review the Opening Balance Equity activity, and approve any supported reclassification.

Opening cash is a starting point, not a receipt

If recording begins October 1, the opening balance normally represents the position at the preceding close, before October activity. Money already in the account is not a new October sale merely because it is first entered in the software. A bank account’s opening statement balance and the business’s opening book cash can differ because of prior outstanding items.

Choose a cutoff that agrees with the records being migrated. Importing September activity and also entering a September 30 balance as though it preceded those transactions can count the same history twice. Retain the prior reconciliation and identify which outstanding items must carry into the new records.

What is Opening Balance Equity in QuickBooks?

QuickBooks uses an Opening Balance Equity account as the other side of certain opening-balance setup entries. It helps maintain debit-credit equality while starting balances are entered. Its label does not establish whether the permanent offset should be owner capital, retained earnings or something else for your entity.

Intuit’s official QuickBooks Online guidance first instructs users to check that an opening entry does not already exist. Its procedure for adding a missing opening balance is expressly limited to an account not yet reconciled. A previously reconciled account needs investigation of its history, not an extra opening entry to overwrite a discrepancy. Interface labels and regional editions can vary; follow the linked official instructions for your edition.

Fictional setup with a supported $1,000 cash balance

Assume newly established fictional Maple Studio is a sole proprietorship. Its approved September 30 records show only Cash $1,000 and Owner capital $1,000: no liabilities, other assets, profit or outstanding bank items. The statement and owner contribution evidence both support those facts.

If the setup workflow creates debit Cash $1,000 and credit Opening Balance Equity $1,000, Cash is correct but the setup offset still needs review. Under these exact assumptions, an authorized reviewer can approve debit Opening Balance Equity $1,000 and credit Owner capital $1,000. Cash remains $1,000; Opening Balance Equity becomes zero; Owner capital is $1,000 credit.

If migration already posted Owner capital from the approved trial balance, do not add it again. First inspect every opening entry to avoid duplicating the cash or equity. This fictional entry is a narrowly specified teaching example, not a professionally reviewed correction for your file.

Check the first month without altering the opening balance

Maple then earns and collects $200 for October services and pays $50 current-month rent. Record debit Cash $200 and credit Revenue $200; debit Rent expense $50 and credit Cash $50. Cash ends at $1,150: $1,000 + $200 - $50.

October trial-balance debits are Cash $1,150 plus Rent expense $50 = $1,200. Credits are Owner capital $1,000 plus Revenue $200 = $1,200. The opening equity reclassification is not part of October income and does not change cash. No opening transactions should be imported again as new October receipts.

An existing business needs more than its bank statement

An ongoing business may have unpaid invoices, supplier balances, loans, fixed assets, accumulated depreciation and prior earnings. Its opening trial balance and supporting schedules are needed to distinguish those amounts. Cash of $1,000 alone cannot establish that the owner contributed $1,000.

Reconcile each imported opening balance to the prior closing records and confirm subsidiary balances such as customers and suppliers. A nonzero Opening Balance Equity amount can indicate incomplete setup, duplicated opening activity or misclassified amounts. Investigate its entries rather than assuming the entire amount belongs in one equity account.

Do not use equity to force a reconciliation

If the first reconciliation is out by $75, identify the missing transaction, incorrect amount or cutoff issue. Changing Opening Balance Equity and Cash by $75 merely to remove the difference would hide the cause. Obtain accounting review before changing opening equity or already-reconciled history.

Fulla can convert bank-statement PDFs into reviewed exports used in a QuickBooks Online workflow. It does not repair QuickBooks setup, determine opening equity or match an external ledger automatically. Retain the source statement and approved opening schedule alongside the imported data.

Questions about this guide

Should Opening Balance Equity always be changed to retained earnings?

No. The proper final treatment depends on the entity, prior records and other opening entries. Review the complete opening trial balance and supporting records before approving a reclassification.

Can I enter another opening balance if reconciliation is wrong?

Do not add a second opening entry simply to remove a difference. Check the existing register, prior reconciliations, imported dates and supporting balance. Intuit limits its missing-opening-entry procedure to accounts not yet reconciled.
