How to choose a bank statement converter: a buyer’s checklist

  1. List where the data goes next, such as Excel working papers, QuickBooks Online, Xero, a CSV importer, or your own software, and roughly how many statement pages you handle in a month.

  2. Choose two or three statements you know well: a long multi-page one, a scanned one, a password-protected PDF, and one with descriptions that wrap across lines.

  3. Convert the same statements in every tool you are considering and note how long it takes you to check and correct each result, not only how long extraction takes.

  4. Count rows per page, compare the first and last transactions, and confirm that opening balance plus money in minus money out equals the closing balance.

  5. Find out who processes the pages, how long files and extracted data are kept, and whether deletion is automatic.

  6. Compare plans on the pages you actually process, including what happens at the limit: whether processing stops, overage is charged, or unused pages roll over.

Start with where the data goes

A converter is only useful if its file goes straight into your next step. Spreadsheet work needs a clean Excel workbook or CSV. QuickBooks Online and Xero both import OFX statement files as well as CSV, so OFX support saves a layout step for many bookkeepers. Software teams need JSON and an API with clear rate limits. Decide this first; it removes options faster than any feature list.

The buyer’s checklist

Score every candidate, including the free and built-in options, against the same points.

  • Review workflow: can you correct, split, and merge rows inside the tool, and is there an explicit approval before export?
  • Source traceability: can you jump from any row to the page and the exact spot it was read from?
  • Scanned and password-protected PDFs: are both accepted, and how are passwords handled?
  • Formats: Excel, CSV, OFX, and JSON, and whether exports come from the reviewed version
  • Retention: a stated deletion window for uploaded files and extracted data, and who can access them meanwhile
  • Pricing model: per page, per document, or per seat; what happens at the cap; whether unused allowance rolls over
  • Batches: how many files per upload, and whether several statements can be combined into one export
  • API: documented endpoints, authentication, and rate limits if you plan to automate
  • Limits: maximum file size and pages per file, so long statements do not need splitting

The alternatives, fairly

Generic PDF-to-Excel converters are inexpensive or free and work well on simple text PDFs with a clean table. They are not built for statements, so wrapped descriptions, separate debit and credit columns, and repeating page headers often need manual cleanup, and they usually offer no review against the source.

Other bank statement converters differ mainly in review tools, formats, retention, and pricing. Some focus on fast spreadsheet output, some on particular accounting destinations. Testing them on your own statements is more reliable than any comparison table, including vendor ones.
