PDF to QBO converter: what QuickBooks Online actually needs from a PDF statement
A PDF to QBO converter search usually starts with QuickBooks Online, which accepts .ofx, .csv and even PDF statements, so a .qbo Web Connect file is not required. QuickBooks Desktop is different: it reads only .qbo Web Connect files from your bank. Here is how to choose, and how to turn a PDF into a reviewed OFX file.

Step by step.
Confirm which QuickBooks you use
If you sign in to QuickBooks in a browser, you use QuickBooks Online and can upload .ofx, .csv, .qbo or a PDF statement. If you open a company file in an installed program, you use QuickBooks Desktop, which needs a .qbo Web Connect file from your bank.
Upload the PDF to Fulla Ledger
Upload up to 10 statement PDFs at once. Scanned, mixed and password-protected PDFs are supported, up to 50 MiB and 250 pages each.
Review the rows against the source
Check each drafted row beside its source page, correct signs, dates and descriptions where needed, and approve the saved revision.
Download OFX
Select Download OFX on the review page. The file holds one account with signed amounts, statement balances and a unique ID for every transaction.
Upload from file in QuickBooks Online
Go to Bank transactions, open the Link account dropdown on the account and select Upload from file, choose the .ofx file, pick the QuickBooks account, select the transactions and finish the import.
Two meanings of QBO
A PDF to QBO converter search can mean two different things. QBO is the common abbreviation for QuickBooks Online, the browser-based product. It is also the .qbo file extension of QuickBooks Web Connect files, which banks provide for QuickBooks to import. Which one you mean changes the answer completely.
If you use QuickBooks Online, you do not need a .qbo file at all. Its Upload from file option accepts .csv, .txt, .qbo and .ofx files. If you use QuickBooks Desktop, Intuit’s Web Connect help is explicit that the file must be a .qbo downloaded from your bank, the only type Web Connect can read.
Your options for QuickBooks Online
For QuickBooks Online there are three practical ways to turn a PDF statement into transactions. Each is legitimate; the right choice depends on volume and how you want to review.
- Upload the PDF to QuickBooks Online itself. QuickBooks accepts an English-language statement as a PDF or image (JPG, PNG or HEIC), extracts the transactions with AI and shows a side-by-side view to check before you save. It is a good fit for an occasional statement.
- Convert the PDF to OFX first. A converter such as Fulla Ledger drafts the rows, lets you check each one against its source page, and exports the approved revision as OFX for Upload from file. This suits batches, scanned or password-protected PDFs, and anyone who also needs the same data in Excel, CSV or JSON.
- Convert the PDF to CSV. This works when you want to edit the data in a spreadsheet first, but QuickBooks then expects three or four specific columns. The CSV to QBO guide explains that layout.
Why OFX works as well as a .qbo file for QuickBooks Online
OFX and .qbo files carry the same kind of data: dated transactions with signed amounts, descriptions and a unique transaction ID, plus account and balance details. QuickBooks Online reads either through the same Upload from file screen, with the same limits: up to 1,000 lines per upload and a file of 350 KB or less, in English.
Fulla’s OFX file uses OFX 1.0.2 SGML with one account per file. Every transaction has a posted date, a signed amount, a CREDIT or DEBIT type, a payee name made from the first 32 characters of the description, the description as the memo, and a FITID taken from the approved row, so importers that de-duplicate by FITID will not add the same row twice from the same file. The file also carries the statement period, the closing balance and its date, the currency, and the account’s last four digits when the statement shows them.
What about QuickBooks Desktop?
QuickBooks Desktop imports bank transactions through Web Connect, and Intuit’s troubleshooting article lists errors such as QuickBooks being unable to verify the financial institution information for a download. A Web Connect file is tied to a bank that supports it, so Fulla does not produce .qbo files and does not claim QuickBooks Desktop support.
If you use QuickBooks Desktop, the reliable source of a .qbo file is your bank’s online banking for the period you need. Be wary of a converter that promises a Desktop-ready .qbo from any PDF without explaining how it handles the institution information Desktop checks; test any such file in a backup copy of your company file first. The OFX vs QFX vs QBO vs CSV guide explains how the formats differ.
How to choose a PDF to QBO converter
A converter is only useful if the transactions it produces are right. Before you rely on one, check these points with a real statement:
- Can you see where each row came from? A side-by-side view or a link from row to source page makes it far quicker to catch a flipped sign or a wrapped description.
- Does it handle your PDFs? Check scanned pages, password-protected files and long statements.
- Which files does it produce, and are they honest about it? For QuickBooks Online, OFX or a correctly shaped CSV is enough. Be skeptical of any tool that claims Desktop Web Connect output without explanation.
- Does it check balances? Opening balance plus transactions should equal the closing balance; the free bank statement balance checker can confirm that for a statement.
- How long does it keep your statements? In Fulla, uploaded and derived financial content expires 24 hours after the upload starts.
Is there a free PDF to QBO converter?
Yes, for low volumes. Fulla Ledger’s free tier includes OFX downloads for single statements. Without an account you can convert 1 page per IP address per rolling 24 hours, and a free registered workspace shares 5 pages per rolling 24 hours, with no card required. For regular work, the paid plans share the same features and differ only in page allowance; the pricing page lists them. Alternatively, QuickBooks Online’s own PDF upload is a built-in feature of QuickBooks Online.
Questions about this article
Can I convert a PDF bank statement to a .qbo file?
Fulla Ledger converts PDFs to OFX, CSV, XLSX and JSON, not .qbo. QuickBooks Online accepts OFX through Upload from file, so a .qbo is not needed there. QuickBooks Desktop needs a .qbo Web Connect file from your bank.
Does QuickBooks Online accept OFX files?
Yes. Upload from file accepts .ofx, .qbo, .csv and .txt files of 350 KB or less, with up to 1,000 lines per upload.
Can I skip the converter and upload the PDF to QuickBooks Online?
Yes. QuickBooks Online can extract transactions from an English-language PDF or image statement and show a side-by-side review. A converter helps when you want source-linked review, batches, or other formats.
Will a Fulla OFX file work in QuickBooks Desktop?
No. QuickBooks Desktop reads .qbo Web Connect files from your bank. Use the OFX with QuickBooks Online, Xero or another importer that accepts OFX.
