Find missing bank statement lines in Xero after an import

Compare the same account and date first. Narrow the first balance difference to a short period, check the source rows and Xero’s statement exceptions, then address the confirmed cause instead of uploading the whole statement again.

Make sure you are comparing the same thing

A current bank-app balance is not automatically comparable with a statement balance from last month. Start with one account and one cutoff date. Confirm which balance and report you are using before interpreting the difference as missing data.

Xero’s troubleshooting guidance starts by checking the opening balance and then identifying when the statement balance diverged. That order matters: an incorrect starting point can make every later date appear wrong even when the transaction lines are complete.

Use a small period to make the search manageable

Here is an original diagnostic example. Your source and Xero agree at September 10. At September 15, Xero is $75 higher than the source. In that interval the PDF shows a $75 withdrawal that you cannot find in the visible Xero statement list.

The amount and direction make that withdrawal a candidate, not a proven diagnosis. Check the selected date range, account, filters and transaction detail. Two different errors can produce the same net difference. A narrow interval makes a line-by-line comparison practical without treating a balance difference as permission to invent a row.

Distinguish a missing line from a different kind of exception

Xero’s Bank Statement report supports comparison with the original statement. Its Statement Exceptions report helps investigate deleted, manual and duplicate lines. Check those records before deciding that the source transaction was never imported.

A row missing from the current list may have been deleted after import. A manually reconciled account transaction may have created a statement line. These cases need different treatment from a transaction that is genuinely absent. Follow the linked Xero instructions for the confirmed case and keep your diagnostic evidence.

Prepare a targeted next action

Create a short reconciliation note: source date, description, signed amount, reference or source page, observed Xero state and proposed action. If the issue is an actual missing line, prepare only the verified gap for the relevant import workflow. If it is a deleted or manual line, use the corresponding Xero recovery guidance.

Avoid reimporting an entire month just to test whether the difference disappears. That makes the affected population larger and can introduce overlaps. After the appropriate correction, compare the same cutoff balance again and verify that the source transactions are represented once.

Choose a file supported by your Xero organization

Check the current import options for your region, plan and account. Xero’s US documentation includes PDF imports, and its PDF guidance specifies eligibility limits. Use the import options available in your organization and check the linked PDF eligibility requirements.
